Admin & Secretarial Support

Job Overview:

As a key member of our Administration and Secretarial team, you will play a crucial role in supporting the operational efficiency of our private healthcare services. Reporting to the Operations Manager, you will be responsible for various administrative tasks to ensure the smooth functioning of the clinical operations.

Key Responsibilities:

  1. Drafting Letters:
    • Prepare letters for GPs and patients, collaborating with clinicians to meet KPIs.
  2. Inbound Enquiries:
    • Assist with inquiries via various platforms, including telephone and email.
  3. Clinical Diary Management:
    • Oversee the clinical diary, schedule appointments, and ensure timely coordination.
  4. Patient Management:
    • Aid in managing patients, helping them schedule appointments and documenting their medical progress.
  5. Medical Equipment Distribution:
    • Assist in the distribution of medical equipment to patients through postal services.
  6. Clinical Team Liaison:
    • Collaborate with the clinical team to facilitate effective communication and coordination.

Essential Qualifications:

  • Competent and confident with computers.
  • Proficient in MS Office, especially Outlook and Word, with limited knowledge of Excel.
  • Strong organizational skills and ability to manage workload independently.
  • Excellent telephone skills with a compassionate and task-focused approach.
  • Ability to work both independently and collaboratively within a team.
  • Natural problem-solving ability.
  • Positive outlook and ability to work well under pressure.

Working Schedule:

  • Monday to Friday: 9.00 am to 5.00 pm
  • Some flexibility required, with the possibility of working some Saturdays.
